How to book an Hotel:

Hotel accommodation can be booked online through the Symposium Web.
Internet booking is preferred by the organisers and will save the participants time and effort. In this case payment by credit card will be made automatic via secure payment system.

A confirmation voucher will automatically appear and will also be sent by e-mail once the procedure is over.

Hotel rates are quoted in Euro, per room per night including breakfast, current VAT and taxes. Should any further tax change occur within 2012, costs will be update consequently.

To guarantee the hotel reservation, a minimum stay of 2 nights in a row is required. A reservation fee of € 30.50 (VAT included) per room will be applied.

Deadline for hotel reservation: April 6, 2012

Room allocation will be made on a first-come-first served basis.

Verona is a touristic town: it is strongly advised to book as early as possible to ensure reservation of the preferred hotel.

Hotel cancellation policy and no shows

Cancellations must be communicated in writing to: hotels@eadvverona2012.org
Cancellations received within April 6, 2012 : complete refund, reservation fee excluded
Cancellations received from April 7 to May 20, 2012: penalty of two nights plus reservation fee
Cancellations received from May 21, 2012 to the congress date: full penalty (no refund)
No shows: full penalty (no refund)

Partial cancellations
Cancellation of one night exceeding the minimum stay of two nights will be allowed without penalties till May 20th, 2012.

Transfers

During the Symposium, a transfer from the hotels to the Symposium venue in the morning and from the Symposium venue to the hotels in the evening will be provided free of charge. Transfers from the airport and the railway station to the hotels and/or to the Symposium venue on arrival and departure will be provided on request with a charge.

You can book your transfers together with your hotel accommodation online, by filling the proper space in the form. The voucher will include also the transfer confirmation that you will have to show to the personnel at the airport or at the Station .

If you are booking by downloaded form, please fill-in the transfer space in the form. Pre-payment must be sent together with the hotel accommodation payment.

Transfers will be normally made by busses and minibuses – possible waiting time of 30/45 minutes might be applied. Transfer departure times will be published in this page of the Symposium website, close the Symposium date: PLEASE REMEMBER TO CHECK IT BEFORE YOU LEAVE.

A welcome desk will be arranged in the arrival lounge at the airport.

Meeting point at the Railway Station: outside the station next to the taxi stand area (coming out from the main entrance on the right)

Transfers back to the airport will leave about 3 hours prior the flight scheduled departure time
Transfers back to the station will leave about 1 hour prior the train scheduled departure time

PLEASE check  the correct departure time of your transfer back and get your confirmation at the Transfer Desk at the secretariat.

Transfer terms and conditions

Costs are in Euro and refer to the transfer service from and to Verona Valerio Catullo Airport and Verona Porta Nuova Railway Station. The service is held from  08.00 a.m. to 11.30 p.m. on June  5 and 6 , 2012 for arrivals and  on June 8 and 9 , 2012 for departures. Between 8 a.m. and 11.30 p.m. pick-up on arrival is guaranteed till 1 hour past the scheduled arrival time. Further delay might cause an increase of cost.

Transfer cancellations
Cancellations must be communicated in writing to Iantra at hotels@eadvverona2012.org.
Cancellations received within April 6 will be entitled to a complete refund less € 5,00 for administrative costs.
Full penalty will be applied to cancellations received after April 6.
